What the spreadsheet does very well
A spreadsheet costs nothing beyond the office suite already in place, opens in a second and accepts anything: one more column, an improvised formula, a tab for this week's exception. For a business owner working alone who tracks quotes, payments and cash, it is an excellent tool, and we say so plainly.
It is also the tool of choice for one-off analysis: simulating a hire, comparing three pricing scenarios, preparing a meeting with the bank. No steering software replaces that freedom, and Stratedge OS does not try to: it exports your data at any time, precisely so that you can keep working on it in a spreadsheet.
So the right question is not “is the spreadsheet a bad tool?” but “when does it stop being the right one?”. The answer comes down to three signs, and they are easy to recognise.
The three signs the spreadsheet is no longer enough
First sign: several people fill it in. As soon as the file circulates, versions multiply, a formula gets overwritten by a typed value, and the meeting opens with “who has the right version?”. A spreadsheet has no access rights, no change history and no log of who changed what.
Second sign: the same information exists in several places. The quote in a folder, the invoice in the invoicing tool, the payment tracked on a tab, the documents in the mailbox. Every re-entry costs time and introduces an error nobody sees until the day a client points it out.
Third sign: the file is scary. A tab nobody dares touch any more, formulas only one person understands, a backup made “just in case”. It is the symptom we meet most often during diagnostics: one critical file holds the company together, and everyone knows it.
What Stratedge OS does, and what it does not do

What it costs, against a free spreadsheet
Prices are public. Essential, at €250 excl. VAT per month, covers up to three users with projects, clients, documents, tracking of imported quotes and invoices and the core indicators. Team, at €450 excl. VAT per month, goes up to ten users and adds client spaces, standard agents and connectors, with support within 24 to 48 working hours. Firm and group, at €900 excl. VAT per month, limits neither users nor entities.
Set-up costs €1,500 excl. VAT: configuring your modules and your vocabulary, importing your clients and documents, and one hour of training per team. A custom deployment, with a large history to import or specific connectors, starts at €6,000 excl. VAT. The initial term is twelve months, then month to month with one month's notice.
The spreadsheet, for its part, is free on the invoice and expensive everywhere else: in the hours spent consolidating, in the forgotten follow-ups, in the error found too late. That cost appears on no accounting line, which is what makes it so easy to ignore. Count it honestly for one week before comparing.
How to switch without breaking anything
The switch starts with importing the history: clients, quotes, invoices, documents. On the first morning, you find your whole company, better organised than the day before. Allow a few weeks between connecting the tools, the import and the team training; you work in it well before the deployment is over.
Keep the old file available for reading during the transition, and only retire it once the team has stopped opening it on their own. It is the same rule as for any tool migration: a file is only abandoned once its replacement has proven itself in real conditions.
